Online Payment for Sponsors

Sponsors can securely pay for their CUG Gold and Silver sponsorship here, with direct access to PayPal. Just select the appropriate Sponsorship Level from the Options, and make sure that you provide your Company Name and Point of Contact Information. Then Pay Now, which will take you to a secure PayPal site for completing the transaction. No PayPal account necessary. Payment for higher level sponsorships must be made directly with the CUG Treasurer.

The Cray User Group depends on the gracious financial support of our sponsors. Eligible sponsors are sought from the hardware, software and service industries that complement Cray computing sites worldwide. Eligible sponsors are identified by Cray, Inc. through their Strategic Alliance and Partner Programs. Our objective is to provide a complimentary mechanism to the CUG Conference Technical Program that provides participating companies a viable opportunity to talk with the Cray User community about their products and services, and learn from the attendees about the features and capabilities that they need.

The following information is furnished for CUG 2019 Sponsor use.

Exhibit Details and Hours

The Conference is entirely self-contained within the Hotel William Gray in Montreal. The Exhibit area is adjacent to the meeting rooms in the area that will be used to host break and lunch service. Each exhibitor will receive a bar-top table and two chairs, and can place a pop-up style banner behind this area if they wish.

Please plan to set up any exhibit materials on Sunday, May 5, 2019. Local Arrangements Committee staff will be on-hand to deliver your pre-shipped materials, and answer your questions from 9:00am – 3:00pm.

CUG provides an on-site Whisper Suite for confidential client/customer discussions. The Whisper Suite will be available beginning Sunday, May 5, 2019 at 9:00am.  Stop by the CUG office to reserve a time slot. There are additional meeting areas both inside and out, for casual conversations.  We will provide secure storage in the CUG office for storing materials each night, and will provide support for mailing exhibitor materials back to the owner after the conference.

In general, there is a limited benefit to maintaining a presence at the exhibit areas except during the break and lunch periods each day, and perhaps in the period immediately before the day’s sessions begin, and in the period prior to when the afternoon session begins.  If you intend to actively manage your exhibit, please reference the online Technical Program for the break times on each day. Active conference days are Monday, May 6, 2019 – Thursday, May 9, 2019. You may tear down the exhibit material following the afternoon break on Thursday.

Your Logo Here: We need your Scalable Vector Graphic (SVG) Logo

We will publish your logo in several applications, including online content, printed programmatic materials, and the Proceedings. In order for us to do this, we need you to supply your Company’s official logo in a scalable vector graphic (SVG) format. You are probably familiar with this as a file with a .eps, .svg, or .ai suffix. In addition to this, we need the alternative text equivalent, and your organization’s terms of use policy. If you have an alternative equivalent for mobile use, please send that as well. These items should be emailed to the CUG Treasurer at your earliest opportunity.

Sponsor opportunities will remain open until filled, but sponsorships that miss publication deadlines may not appear in printed materials. Sponsors who would like to discuss opportunities for either 2019 or 2020 may contact the CUG Treasurer at your convenience.

Conference Registration

Every person attending CUG must be registered. Your participation as a Sponsor provides some number of complimentary registrations that you may use at your own discretion. You will receive these registrations from the CUG Treasurer as a series of one or more Sponsor Codes that are entered as part of your event registration. Any registrations for Company participation beyond the number of complimentary registrations is permitted. In addition, we protect the conference registration rate for these extra participants so that it is always locked in at the Early Bird rate. Your registration includes access to all social events.  Sponsors are also welcome to bring a Guest for the CUG Night Out social event at the St-James Theatre. Please note that there is a separate nominal registration fee of $75 USD for those Guests. That fee increases to $100 after April 7, 2019. This fee helps to offset our costs for the event.

Hotel Registration

CUG has a contract with Hotel William Gray in Montreal to accomodate our attendees and sponsors.  CUG has negotiated special rates at this facilitiy that may include benefits not afforded to online or other reservations that do not use the group block. Please do not make reservations outside of the hotel block as this negatively affects our ability to meet a contractual minimum number of room nights. Timely Shipment of Materials, and Secure Storage Until You Arrive

To avoid hand-carrying exhibit and promotional materials, most sponsors ship these items in advance to the Conference site. CUG 2019 will provide a secure location to store your materials, and will deliver them to the Conference venue on Sunday, prior to the conference. Sponsors can pick up their materials during normal on-site office hours at any time on or after this date. Items that are to be placed in to the Conference Attendee Gift Bag should be clearly marked, and we will insert those items for you. Items for the Conference Attendee bag should arrive by May 3, 2019 to ensure that they are placed in the bags. Please allow for 250 pieces (minimum) for bag items.

Your other material, which may include brochures, exhibit material, or other marketing or promotional items should be packed separately so that we can “stuff” bags in advance. Sponsors are responsible for ensuring that materials arrive by May 3 2019.  We cannot guarantee that anything received after this date will make it in to the bags.

The hotel will accept shipments starting Wednesday, May 1st.  Please ship to:

CUG will help Exhibitors ship materials back. This is limited to exhibit materials, and will not include any residual marketing material. Exhibitors must provide pre-paid shipping information, and the CUG Local Arrangements Committee will make arrangements to deliver these materials to a shipping location for you. Please make sure that all the requisite packing materials and shipping labels/forms are available to the on-site company representative so that these items can be returned safely.
